1. Introduction
Synaptrix LLC ("we," "us," or "our") operates the Arvon platform ("Service"), an AI-powered phone receptionist for restaurants, accessible at arvon.app. This Privacy Policy explains what information we collect, how we use it, how we protect it, and your rights regarding that information.
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. This policy applies to all users of the Arvon platform, including restaurant managers, owners, and staff who register accounts.
2. Information We Collect
We collect the following categories of information:
Account Information (from restaurant managers):
- Name and email address — provided during account registration
- Mobile phone number — provided during account registration for the purpose of receiving SMS notifications
- Restaurant name and business details — provided during onboarding to configure the AI receptionist
- Account preferences and settings — including SMS notification opt-in status
Caller Information (from restaurant guests):
- Caller name — as provided verbally during a phone call
- Caller phone number — captured from the incoming call
- Reservation details — date, time, party size, and any special requests
- Order details — food items, pickup time, and any special instructions
Service Usage Data:
- Call transcripts and recordings — generated when the AI receptionist handles calls
- SMS delivery logs — records of notification messages sent
- Dashboard activity — login times, feature usage, and configuration changes
3. How We Use Your Information
We use the information we collect solely for the following purposes:
- Operating the AI phone receptionist to answer calls and handle reservations and orders on behalf of your restaurant
- Sending SMS text message notifications to restaurant managers about new reservations and orders (only if you have opted in)
- Providing and maintaining the Arvon dashboard and account features
- Responding to your support requests and inquiries
- Improving the Service and fixing technical issues
- Complying with legal obligations
We do not use your information for marketing, advertising, or promotional purposes. The SMS notifications sent through Arvon are strictly transactional and operational — they inform you of reservations and orders taken by your AI receptionist.
4. SMS/Mobile Information and Consent Data
This section specifically addresses how we handle mobile phone numbers and SMS-related data collected through the Arvon SMS Notification Program.
Synaptrix LLC and its Arvon service will not share, sell, rent, or otherwise disclose mobile phone numbers, SMS opt-in data, or text messaging consent information to any third parties, affiliates, or service providers for marketing, advertising, or promotional purposes. This prohibition applies to all mobile information collected through the Arvon SMS Notification Program.
How we collect mobile phone numbers: Restaurant managers voluntarily provide their mobile phone number during account registration on the Arvon platform.
How SMS consent is obtained: After registering for an Arvon account, restaurant managers are presented with an unchecked checkbox on their account dashboard to explicitly consent to receiving SMS booking and order notification messages. The checkbox is never pre-selected or checked by default. Consent is entirely voluntary and is not a condition of purchase or use of the Arvon service.
What SMS data is sent: SMS notifications contain reservation details (guest name, phone number, party size, date, time, special requests) or order details (customer name, phone number, order items, pickup time, special instructions) for reservations and orders taken by the AI phone receptionist.
How consent records are maintained: We log and retain records of each user's SMS opt-in consent, including the date and time consent was given, the method of consent (dashboard checkbox), and the version of the disclosure text displayed at the time of opt-in. These records are retained for the duration of the user's account and for a minimum of five (5) years after account termination to comply with applicable regulations.
How to revoke SMS consent: You may revoke your consent to receive SMS messages at any time by:
- Replying STOP (or END, CANCEL, QUIT, UNSUBSCRIBE) to any Arvon SMS message
- Unchecking the SMS consent checkbox on your Arvon account dashboard
- Contacting us at office@arvon.app
Consent revocation is processed and honored within 10 business days as required by FCC regulations. After revoking consent, you will receive one final confirmation message and no further SMS messages.
5. No Third-Party Sharing
We do not sell, trade, rent, or otherwise share your personal information with any third parties for their own marketing, advertising, or promotional purposes. This includes, without limitation:
- Mobile phone numbers
- SMS opt-in consent data
- Text messaging consent information
- Call recordings and transcripts
- Reservation and order details
We may share limited information with the following categories of service providers solely as necessary to operate the Arvon platform:
- Telecommunications providers — to deliver SMS messages and handle phone calls (e.g., Twilio)
- Cloud infrastructure providers — to host and operate the Service
- AI/voice processing providers — to power the AI phone receptionist
These service providers are contractually prohibited from using your information for any purpose other than providing their services to us. They do not have independent rights to your data.
We may also disclose information if required by law, court order, subpoena, or government request, or if necessary to protect the rights, property, or safety of Synaptrix LLC, our users, or the public.
6. No Marketing Use
Your personal information will never be used for marketing purposes. We will not send you promotional messages, advertising, or any communications unrelated to the operation of your Arvon account and AI receptionist. You will only receive SMS messages that are direct, transactional notifications of reservations and orders handled by your AI receptionist — and only if you have opted in.
7. Data Retention
We retain your information as follows:
- Account information: Retained for the duration of your active account and deleted within 90 days of account termination, unless retention is required by law.
- SMS consent records: Retained for the duration of your account and for a minimum of five (5) years after account termination to comply with TCPA and FCC recordkeeping requirements.
- SMS delivery logs: Retained for up to two (2) years for troubleshooting and compliance purposes.
- Call recordings and transcripts: Retained for up to one (1) year unless you request earlier deletion or a different retention period is required by applicable law.
- Caller/guest information: Reservation and order data is retained for up to one (1) year to support restaurant operations, then deleted unless retention is required by law.
You may request deletion of your personal information at any time (see Section 9 below). Note that we may retain certain information as required by law or for legitimate business purposes even after a deletion request.
8. Data Security
We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls limiting employee access to personal data, and regular security reviews. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
9. Your Rights
You have the following rights regarding your personal information:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may request that we correct any inaccurate or incomplete information.
- Deletion: You may request that we delete your personal information, subject to legal retention requirements.
- Opt-out of SMS: You may revoke your consent to receive SMS messages at any time as described in Section 4.
- Data portability: You may request your data in a commonly used, machine-readable format.

10. Children's Privacy
The Service is intended for use by restaurant managers and business operators who are at least 18 years old. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete that information promptly.
11. California Residents
If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA). You have the right to know what personal information we collect, request deletion of your personal information, and opt out of the sale of your personal information. 12. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We will notify registered users of material changes via email. We encourage you to review this policy periodically. Continued use of the Service after changes constitutes acceptance of the updated Privacy Policy.
